PHONE SYSTEMS

A revolution in telephone system technology is underway. The "traditional" phone system technology platform - which has been used since the 1960s - is being phased out, and the new technology platform that all the equipment manufacturers are switching to is Voice Over Internet Protocol or VOIP. Your phone system, much like a teenager, is now firmly tied to the internet.

VOIP technology offers you a vast array of features unavailable in a traditional system. If you have multiple office locations you can support all your phones off of one system. You can also merge your telecommunications department with your IT department. You can move phones by simply unplugging them from one location and then plugging them into another - as long as there is an internet connection. These solutions work whether you are moving from one side of the office to another or if you are moving from the New York office to the London office.

VOIP has bells and whistles you’ve never dreamed of, but of course you pay extra for it. That being said, there is still a place for traditional systems. If you have a simple, one-office business with a few phones, a traditional phone system will probably be a better fit for your needs and budget. However, the great thing is that most manufacturers are now pre-configuring their non-VOIP systems to be upgradeable to VOIP. This allows you the flexibility to integrate VOIP into your system when the time is right.

VOICE/DATA CABLING

Once you chosen your phone system and IT network design, your next task is to make sure that all your devices, including phone sets, fax machines, computer terminals, network printers and copiers, are tied in properly. This is where cabling or structured cabling comes into play.

Typically, the primary systems (phone systems, computer servers, etc.) will be located in one room, usually called the Telco room or Server room. Between the main systems the user device cables will be installed. Usually done behind walls, you want to do this once and do it right. The most common cable used today is Category 5 or 5e cable. Cable categories refer to the amount of bandwidth a cable can support. The highest level cable available today is Category 6, which is rated to carry a 200 Mhz of bandwidth. That’s a lot of bandwidth. Category 6 comes at a premium, of course, and a Cat 6 installation can cost 30% more than a Cat 5e installation.

In this day and age, if anyone tries to sell you Category 3 cabling for a phone system, run screaming and dial 911. Saxon will install your cabling in the best possible way, no matter how challenging the workspace.


COMMUNICATION SERVICE AUDITING

This may come as a shock to some, but phone companies make mistakes on their bills. All the time. How do we know this? Here at Saxon, we have worked with some of the biggest phone carriers, and some of the smallest, in the world. A lot of the time the bills are just plain wrong or you’ll get charges that aren’t even yours!

Most companies lack the knowledge of what to look out for on their phone bills each month. They also lack the time. We have both, and in fact actually like doing it.

Saxon’s auditing program consists of a free evaluation of your current calling plan, service history and your overall networking needs. Our team of audit technicians comb through these reports searching for billing and service discrepancies. Often this service results in substantial savings for our clients.

Based on your company’s set-up and needs, including office size, number of locations, calling patterns and data/internet usage, Saxon will be able to recommend the best carrier and service plan to meet your needs. We then order the circuits for you and babysit the installation. The only thing you do is continue to run your business at optimum levels.


MAINTENANCE AGREEMENT

The most commonly asked client question about maintenance agreements is "why do I need one?" The answer is simple: guaranteed response time. A maintenance agreement contractually obligates us to be onsite within four hours of a major outage. This applies to phone systems, IT networks and audio/visual systems.

Of course, the maintenance agreement also covers the cost of replacing the system, but to most clients, this is just an added bonus. In the information-driven world in which we live, any downtime can be devastating.

Some clients opt out of maintenance agreements to save themselves the cost. That’s fine: we’ll always make our best effort to respond to any emergency.
